1. Who We Are

Ascensus Recruitment Ltd ("Ascensus", "we", "us", "our") is a healthcare recruitment consultancy registered in England & Wales, operating from London, United Kingdom. We specialise in placing UK-trained, GMC and NMC-registered doctors and nurses into hospitals and healthcare institutions across the United Arab Emirates, Qatar, and the Kingdom of Saudi Arabia.

This Privacy Policy explains how we collect, use, store, and protect personal data when you visit our website, submit an enquiry, or otherwise interact with us. We are the data controller for the personal data described in this policy.

For the purposes of UK data protection law, references to "you" include prospective candidates (doctors and nurses), employer contacts at hospitals and healthcare groups, and any other visitor who submits information to us through this website.

2. What Data We Collect

We collect personal data only where you voluntarily provide it to us, principally through the contact forms on our website. We do not currently accept CV uploads or candidate documents directly through the site.

We do not knowingly collect special category data (such as health data) through our website forms. If you choose to include sensitive information in a free-text message field, please be aware this policy explains how we will handle it, but we encourage you not to share more than is necessary at the initial enquiry stage.

3. How We Use Your Data

We use the personal data we collect for the following purposes:

  • To respond to enquiries submitted through our website's contact forms
  • To assess candidate suitability for relevant roles, where you have contacted us as a medical or nursing professional
  • To assess and respond to recruitment requirements submitted by hospitals and healthcare employers
  • To communicate with you about potential opportunities, candidates, or our services
  • To maintain records of our business relationships and correspondence
  • To comply with our legal and regulatory obligations
  • To improve our website and understand how visitors use it (via cookies — see Section 9)

We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects on you.

4. Our Legal Basis for Processing

Under UK GDPR, we rely on the following legal bases to process your personal data:

  • Consent — where you have actively submitted a form to make an enquiry, you have given consent for us to process that data for the purpose of responding to it.
  • Legitimate interests — we have a legitimate interest in processing enquiry data to operate our recruitment consultancy, match candidates with opportunities, and respond to employer requirements, provided this does not override your data protection rights.
  • Contract — where processing is necessary to take steps towards a contract with you, for example progressing a candidate placement or a client engagement.
  • Legal obligation — where we are required to process or retain data to comply with UK law.

5. Sharing Your Data

We do not sell personal data. We may share your data with:

  • Prospective employers or candidates — where you are a candidate, we may share relevant professional details with hospital or healthcare group clients considered for your placement. Where you are an employer contact, we will not share your details with candidates without good reason connected to a specific recruitment process.
  • Service providers — third parties who support our operations, such as our website hosting provider (Netlify), form processing provider (Formspree), and email provider (Zoho Mail), strictly to the extent necessary for them to provide their service to us.
  • Regulatory or legal bodies — where required by law, regulation, or to protect our legal rights.

We require any third party we work with to handle personal data securely and in line with applicable data protection law.

6. International Transfers (Gulf Region)

Because our business involves placing candidates into hospitals in the United Arab Emirates, Qatar, and Saudi Arabia, your personal data may, where relevant to a specific recruitment process, be transferred to and processed by organisations in these countries.

Where we transfer personal data outside the UK, we take steps to ensure an appropriate level of protection is applied, which may include relying on your explicit consent to the transfer (given the nature of seeking employment in that jurisdiction), or other safeguards recognised under UK data protection law where applicable. We will only make such transfers where doing so is necessary to pursue an enquiry or opportunity you have asked us to progress.

7. How Long We Keep Your Data

We retain personal data only for as long as is necessary for the purposes set out in this policy:

  • Candidate enquiries: retained for as long as you remain an active or potential candidate, and for a reasonable period afterwards in case suitable opportunities arise, unless you ask us to delete your data sooner.
  • Employer enquiries: retained for the duration of our business relationship and for a reasonable period afterwards for relationship management and record-keeping.
  • General correspondence: retained only as long as necessary to resolve the enquiry, typically no longer than 24 months unless an ongoing relationship exists.

You may ask us to delete your data at any time, as described in Section 8 below.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete data
  • Erasure — ask us to delete your data, subject to certain exemptions
  • Restriction — ask us to limit how we use your data
  • Objection — object to processing based on legitimate interests
  • Data portability — request your data in a portable format, where applicable
  • Withdraw consent — where processing is based on consent, withdraw it at any time

To exercise any of these rights, please contact us using the details in Section 13. We will respond within one month, as required by law.

9. Cookies

Our website may use essential cookies necessary for the site to function, and — where enabled — analytics cookies to help us understand how visitors use the site. For full details of the cookies we use and how to manage your preferences, please see our Cookie Policy.

10. Data Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, or alteration. This includes the use of secure, reputable third-party platforms for hosting, form submission, and email, and limiting access to personal data to what is necessary to provide our services.

As a small consultancy, all data we hold directly is accessed solely by Ascensus Recruitment Ltd. No data is stored on physical premises beyond what is necessary for day-to-day correspondence.

11. Children's Data

Our services are intended for qualified medical and nursing professionals and for employer representatives, and are not directed at or intended for use by children. We do not knowingly collect personal data from anyone under the age of 18.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The "Last updated" date at the top of this page indicates when the policy was last revised. We encourage you to review this page periodically.
